Ethical school fundraising Step by Step Guide

Funds you can earn for your school or organisation

Follow these simple steps to get your coffee fundraiser up and running.

Step 1 – Promote your fundraiser

• Set a deadline for all orders and payments to be returned to the school/organisation.
• Download and personalise the Parent Letter (DOC: 590 KB) and Parent Order Form (PDF: 825 KB) with your school/organisation details and closing date for orders.
• Send the Parent Letter together with the Parent Order Form home with the children, or include information in your weekly newsletter, to explain the promotion including the date when orders and payments must be returned.

Step 2 – Collect and collate Order Forms

• Collect and collate all orders and payments as they are returned.
• Remember, (48x250g packets) or (6x1kg packets) is the minimum order and must be for one type of coffee (full beans or medium ground).
• Remind parents (via your newsletter and/or a second letter to parents) of the closing date for orders (we recommend you do this one week before the order deadline).

Step 3 – Complete the Master Order Form

• Once all orders and payments have been collected, download and complete the Master Order Form (PDF: 939 KB).
• Fill in the Master Order Form with details of the total units ordered for each coffee type and the total dollar amounts.

Step 4 – Place your order

• Next, either fax your order to Jasper Coffee on               03 9416 2283        or email your order to fundraising@jaspercoffee.com or contact 1300 JASPER (527737).

Step 5 – Pay for your order

• Jasper Coffee will fax/email a confirmed invoice advising you of a delivery date and delivery charge.
• Use the invoice to make your payment to Jasper Coffee. Payment can be made by cash, credit card or cheque (schools only).

Step 6 – Distribute orders to students

• Once your order has arrived at school use the Parent Order Forms to compile individual student orders and distribute to students.
